This Privacy Policy explains how The Waste Removers (“we”, “us”, “our”) collects, uses, shares and protects your personal data when you visit https://thewasteremovers.co.uk (the “Website”) or use our services (the “Services”). By using the Services you agree to this Policy. If you don’t agree, please don’t use the Services.

Data We Collect

We collect the minimum we need to run your booking and carry out a lawful waste collection.

  • Identity & contact: name, phone number, email, billing address, collection/clearance address.
  • Job details you provide: access notes, item descriptions, preferred dates/times, messages.
  • Images you provide or we capture: photos/videos you send for quotes; limited before/after photos to evidence work.
  • Payment & documents: invoice/receipt details, payment status (we do not store full card numbers), Waste Transfer Notes (WTN) and signatures.
  • Website data: IP address, device/browser info, pages viewed and cookie IDs (see Cookie Policy).
  • Feedback/communications: reviews, emails, phone messages.

We don’t intentionally collect children’s data or special category data.

How We Use Your Data (Lawful Bases)

We only process your data where a lawful basis applies:

  • Contract: to quote, book, schedule, collect, issue invoices/receipts and WTNs, and provide customer support.
  • Legal obligation: to meet environmental/waste and tax record-keeping requirements.
  • Legitimate interests: to plan routes, protect staff and customers, keep limited proof-of-work images, prevent fraud, and improve our Services.
  • Consent: for optional marketing and any non-essential cookies/analytics (you can withdraw consent at any time).

Typical uses

  • Provide and improve the Services.
  • Communicate updates (e.g., booking confirmations, on-the-way texts).
  • Process payments and manage accounts.
  • Collect reviews/testimonials (only publish with your consent or when anonymised).
  • Keep and share the WTN and related records as required by law.
  • Maintain website security and diagnose issues.

We do not sell your data.

Sharing Your Data

We share data only when necessary and with safeguards:

  • Service providers (processors): hosting/email, payments, booking/CRM, messaging, analytics and IT support (only the minimum they need, under contract).
  • Operational partners: licensed waste sites, reuse/charity partners, vetted subcontractors where needed to complete a job and evidence lawful disposal.
  • Regulators/authorities: Environment Agency, HMRC or law enforcement if required.
  • Professional advisers: accountants, insurers and legal advisers.

Some providers may be outside the UK. Where they are, we use approved transfer safeguards (e.g., UK IDTA/SCCs).

Images & Social Media

We may take before/after photos of the area/items we clear to evidence work and for our records. We try to avoid capturing people or unrelated property.

We will only use identifiable images for marketing (website or social media) with your explicit consent.

If you prefer no photos at all, tell the team—we’ll minimise or avoid where practical, subject to legal documentation needs.

Retention

  • Booking, invoice & accounting records: generally 6 years after the end of the financial year (HMRC rules).
  • Waste Transfer Notes: at least 2 years (non-hazardous); 3 years for hazardous consignment notes.
  • Proof photos/job notes: kept in line with booking records unless a shorter period makes sense.
  • Marketing data: until you unsubscribe/withdraw consent.
  • Cookies/analytics: see Cookie Policy.

When no longer needed, we securely delete or anonymise.

Security

We use technical and organisational measures (encryption in transit, access controls, staff training, supplier checks). No system is 100% secure, but we act promptly on suspected issues.

Your Rights

You can:

  • Access your data and get a copy.
  • Correct incomplete or inaccurate data.
  • Erase data (where applicable).
  • Restrict or object to processing (especially where based on legitimate interests or for direct marketing).
  • Portability for data you provided where processing is by consent/contract and automated.
  • Withdraw consent at any time (for marketing/cookies).
